Accounting Firms Austin AlternativeA named person closes the month.
One person calls the month finished, and the bank has to agree before that call is made.
Open the close
The close has a name on it.
A good kitchen has one name on the order. A month needs the same thing. One person who will walk the unmatched lines with you and say, in writing, that it now agrees. When two people edited the file and neither one will say the month is finished, the bank balance becomes a rumor.
The named person on a close is not a title on a door. Owners in Austin can be that person themselves. Many would rather hand the walk to this practice and keep the decision about what the numbers mean. Either way, the name is written down before the return uses the month. A greeting on a page is not a month. What carries the month is the person who will look at the unmatched lines and leave a name beside the balance the bank already shows.
A feed that imported cleanly can still be wrong. Transfers between two accounts at the same bank often land twice, or land in a clearing account and never leave it. Card payments sometimes arrive net of fees, while the books recorded the gross and the fee on different days. The named person is the one who decides which picture is true and posts the difference where a reader can find it later.
What the bank is allowed to disagree about.
A month can be useful and still be unfinished. You may already know that sales were strong and payroll was heavy. Those impressions are not the close. The close is the statement, the feed, and the books showing the same cash, the same open invoices, and the same loan balances. Until that happens, the month stays in the open pile, even if a software screen shows a green check.
We keep a short list of differences rather than a story about them. A leftover row carries three facts only. The figure, the account, and why the row is still unmatched. Saying we will look later does not count as a fact. If a deposit from a Saturday market has no matching record, the list says so. The owner can remember the market. The file cannot.
Reconciliation is the report that proves the list is empty, or that shows exactly what remains. We do not hide an unknown plug in an expense account to force the total. A plug makes this month look finished and makes next month start with a lie. The validation step is simply reading that report before anyone celebrates the close.
How the month reaches the return.
Once a month is finished, it can enter the return. Not before. Owners sometimes want the return started in February while January is still open. The return can be outlined, and estimates can be sketched, but figures from an open month are marked as open. They are not typed into the form as if the bank had agreed.
The same rule covers sales tax. A seller in Austin who files around the 20th needs the prior period closed, because the local rate is not a single unnamed percent. State tax is 6.25 percent. The local 2 percent splits into 1 percent for the city and 1 percent for Capital Metro. A month that still has unnamed deposits will misstate the taxable sales those rates apply to.
Payroll setup belongs in this conversation only as setup. If the provider's report for the month does not match the cash that left the bank, the named person stops the close and asks which document is late. We do not rerun payday inside this practice. We wait for the provider's record, then we tie it.
Name the open books.
You will be talking to the Steven Palmieri practice.
